Actions upon selections


Menu path

CRM ➔ Processes ➔ Selection ➔ Actions 

Introduction 

Exact Globe Next allows you to make extensive selections from your database of accounts via the above menu path. You can then carry out certain actions such as updating of accounts, grouping of accounts, word merge selected accounts, export the overview of accounts to Microsoft Excel, and create activities for the selected accounts. The selections you have made can then be saved in your administration for later use.

Fields  

View
Select the required option to display the results according to Accounts or Contact persons.

 

Group by
Select the required grouping method to display the database of accounts. The available options are dependent on your selection in View. If you have selected Accounts in View, you will see the following options:

  • None
  • Group
  • Type
  • Status
  • Parent
  • Reseller
  • Resource
  • Classification
  • Sector
  • Subsector
  • Size
  • Source
  • Rating
  • Country
  • State
  • City 

If you have selected Contact persons in View, you will see the following options:

  • None
  • Account types
  • Job title
  • Group 

Select all

Click this to select all the accounts at once. Click again to clear the previous selection.

 

Note: This button is enabled only if None is selected at Group by. Otherwise, it is enabled only after Zoom is clicked on a selected group of entries.

 

Select
Click this to select or deselect an account. A green check mark is displayed at the specified account’s Selected column. Selecting one or more accounts enables buttons such as Open, Delete, Zoom/Back, Reset, Activity, Export, Update, Word merge, Group, Labels, and Attachment so that you can then take the next course of action on the selected account.

 

Random

Click this to select random accounts. You can specify the number of accounts to be selected at random. If there are 10 available accounts, you can select a maximum of 9.

 

Filter
Click this to filter the accounts you want to view. You can specify several selection criteria in the filter. If the filter is being used, then it is indicated by a green check mark in front of the filter. The options for filtering depend on whether you have selected Accounts or Contacts persons in View. If you have selected Accounts, you can use the accounts filter. If you have selected Contact persons, you can use the contact person’s filter.
The data that matches the criteria you have specified will be displayed as below when you click Refresh.


Note
: It is possible that not all columns in this example are displayed. You can add or delete columns as required. For detailed instructions on how to customize displayed columns, see Related documents: Inserting and deleting columns.

 

Buttons

 

Refresh
Click this to update the overview based on the specified criteria and grouping option. 

 

Attachment

Click this to view the attachment which is linked to the selected account.

 

Note: This button is enabled only if there is an attachment linked to the account.

 

Labels
Click this to print the labels for debtors or creditors. 

Type section

Creditor/Debtor
Select Creditor or Debtor to print the labels for the debtor or creditor.

Layout section  

Layout
Type or select a layout for the labels.

Printer settings section

Number of Copies
Type the number of copies of labels you want to print.

Buttons

Print
Click this to print the labels.

Cancel
Click this to exit. 

Group

Click this to group all the selected accounts. This grouping can be saved for later use.

 

Word merge
Click this to merge the selected account’s details to a document layout. You then have options to e-mail or print the merged word documents.

 

Update
Click this to update the selected account(s) or contact person(s). For more information, see Updating accounts in batches.

 

Note: To select more than one account or contact person, hold down CTRL and click the accounts or contact persons that you want. This button will be disabled if the UseCentralMasterDatabase setting (for Central Master Data Management) is enabled, or the Maintain master data centrally check box under the General settings in the Exact Synergy/Exact Synergy Enterprise section is selected.

 

Export
Click this to export the selected accounts to Microsoft Excel. You will see a screen that allows you to select the data you want to export. The options available here depend on whether you have selected Accounts or Contact persons in View.

 

Activity

Click this to create a new activity for the selected account(s).

 

Note: To select more than one account, hold down CTRL and click the accounts that you want.

 

Reset

Click this to clear the filter and grouping selections.

 

Zoom/Back
Click this to view the accounts as per the selected grouping. Click Back button to return to the previous screen.

 

Note: This button is available only if you have grouped the overview.

 

Delete
Click this to delete all the selected accounts at once. You will only be able to delete these accounts if they are not used in any transactions.
 
Note: This button will be disabled if the UseCentralMasterDatabase setting (for Central Master Data Management) is enabled, or the Maintain master data centrally check box under the General settings in the Exact Synergy/Exact Synergy Enterprise section is selected.

 

Open
Click this to display the details of the selected account.

 

Close

Click this to exit.
